Guidelines for Service Hours

These guidelines are presented to you to help you understand the service hour tallying process and guidelines.  Please keep this paper accessible for reference during the year.  You will receive credit for your service in a timely manner by turning your communication envelope in on time each week and keep these guidelines in mind.

General guidelines

1. 1 hour of service = 1 hour of credit within the guidelines listed below.
2. Enter your service each week on the communication envelope.
3. Turn your communication envelope in every Thursday to avoid delays in receiving service hours.
4. Only SJV Parish and school related service hours may receive credit (the only exception being Scout Leaders – see below).
5. Only service hours completed by parents/guardians may receive credit.
6. Itemize service hours, detailing event and specific job completed.
7. Write legibly.
8. Do not write hours on a separate sheet of paper.
9. Round your hours to the nearest quarter of an hour. (i.e., 15 minutes = .25 hours, 30 minutes = .50 hours, 45 minutes =.75 hours.
10. Service hours are tallied for the Family Reports on the first week of each month for the previous month.
11. Once service hours have been tallied for a particular month, any late entries for that month will not receive credit.
12. Report a lost or missing communication envelope immediately to the school office.
13. A maximum number of hours can be credited for Fiesta, Holiday Faire, Crabfeed, and any other major events in order to ensure that all events are equally represented by volunteers.  The maximum a FAMILY may receive in credit for a major event is 15 hours.
14. Envelopes must be turned in no later than the last day of school in order to receive credit for service hours completed in May or June. (Includes Parish Fiesta!!!)  These hours are applied to the following school year.
15. Families are responsible for keeping track of all service hours done during June – August.  These hours are written on the first communication envelope to go home at the beginning of the next school year.

Chairpersons - Head Chairpersons of events are required to present a list of Chairs and Co-Chairs to the Tallying Committee.  (The Fiesta Head Chairperson must make certain that the Tallying Committee receives all chair lists before the last day of school to ensure that Fiesta Chairs receive credit.)

Scouts

• Camping and field trips are not included for credit.
• Only 1 troop leader and 1 co-leader per troop sponsored by SJV Parish may receive volunteer credit.  Leader hours are credited for meetings, and coordinating troop activities.
• If a leader asks for parent assistance, parents may receive a maximum of 4 hours of scout volunteer time each year for helping with scout activities or attending meetings.

Sports Coaches - Coaches receive volunteer credit for coaching sports practice and games.

Baking Credit - Families receive a maximum of 2 hours per year credit for home made baked goods.
